Assuming you are already logged into SMS Pro, follow these steps to create a new item in SMS Pro
1. Open up item maintenance "Price Only" by clicking the "Maintenance" button in the blue bar at the top of the screen. Next select "Item Maintenance Price Only" from the list.
Your screen should look something like this:
(Don't worry if your screen doesn't look identical)
2. Click the box in the filter window next to where it says main code. Then scan the barcode of the item with your scanner. (Alternately you could manually type the item's barcode number in this box by hand. If you do this, you have to hit enter twice to continue to the next step)
3. A box will pop up prompting you to add that UPC to the system and give you some options.
The only two options here that people actually use are "Fill all tables" and "Blank all tables". Select one of these two options.
Fill all tables will copy any information from a previous item to the new item you're programming. This is a time saving feature that let's you clone one item's information to the next.
Blank all tables will clear any information on the screen and let you program the item from scratch. You can't go wrong with blank all tables .
4. Fill in the Main Item Descriptor and Size.
The Descriptor field in the main item table is the description you'll see on the reports. This field is mandatory.
The Size field is not a required field but if an item has more than one size it's a really good idea to fill in the size. Type whatever size description you'd like here.
5. Fill in all information in the POS Table
MANDATORY: Fill in the POS Description box. This is the description that will show up on the receipts and the customer display. You could potentially have a different description show up on the reports than shows up on the receipt if you wanted. Double click this box and it will pull down the information from the Descriptor and Size fields for you.
MANDATORY: Set the Sub Department (S-Dept) the item goes into. If you do not enter a Sub Department the item will not ring at the register.
MANDATORY: Check the "Follow S-Dept" flag on items. This check box makes it so the item will follow the tax ability, or food stamp flags of the sub department. This is just there to save you time so you don't have to tell every item in the system that it's food stamp-able. The vast majority of the items in your system will follow the sub department's programming. An example of some items that wouldn't follow the sub department however are scalable produce. In that circumstance the whole produce sub department isn't going to be weigh-able, only certain items are. So on the weigh-able items, you would NOT check follow sub department, but then you would manually check whether or not the item was foodstamp-able or wic-able.
6. Enter the price into the regular price field in the price table. You do not need to enter a decimal point, the system will do this for you. Notice, there are many places that look like you could enter a price, for a simple item programming just the regular price of the item you want to enter the price below the word "Reg". Hit enter after you've type the price.
7. Deploy changes. When you are done creating an item you need to deploy changes to send that new item down to the registers. If you were creating 10 new items, you only really need to deploy changes when you're done with all 10. You do not need to deploy changes after each item. If you forget to deploy changes, it's not a big deal, the system does the deploy changes in the background every 30 minutes on a timer.
To deploy changes, click the deploy changes button in the "Maintenance Utility" Toolbox which should be open on your screen. If this maintenance utility box isn't open you can open it up manually by clicking the "Analysis" drop down menu and selecting the first option called "Utilities"
Another way to deploy changes is to click the "Preference" drop down menu at the top of the screen and select "Deploy changes" from the list.
At this point, you should be able to ring this item at the cash register. This example is a very basic example of creating an item in the system. There are many other topics such as adding bottle deposits, package pricing, mix and match etc.
